Getting Started: Configuring Field Harmony

See a list of your most recent jobs. Filter by any combination of Type, Category, Technician, Status, and Date.

Administrative Options Page:

This is where you start customizing your Field Harmony experience. Click on any of the 5 portals to begin. 

Reports:

Automatically generated charts track revenue and estimated profit per technician. There are also graphs and charts that track your daily activity, letting you know which days of the week require more coverage, or how many products you are moving on any given day. Here’s an example of what your reports will look like after a few months of data collection:

Employees:

When you first log in to Field Harmony, there will already be one employee-- you. There can only be one “Admin” per company, but you may add three other types of employee: Manager, Dispatcher, and Field Technician. Managers can do everything that Admins can do, except deactivate the Admin. Dispatchers can add and edit customers and accounts, but do not have access to the Options Portal. Field Technicians must log in from a mobile device, and have access to all jobs assigned to them, but can only edit active jobs. Technicians can schedule followups to active jobs as needed.

Check the box to generate either Email or SMS notifications to your technician when jobs are dispatched, and upload a photo of the technician that will be included in the automatically generated appointment confirmation email. Admins can reset employee passwords, and activate or deactivate employees at will. Commission and/or hourly pay rate can be entered here as well, which will save you time on payroll.  

General:

This is where you control and customize the features of your Field Harmony account to suit the needs of your company. Click on any of the blue boxes to expand.

Job Types: Here you can enter the types of jobs that your company handles, and, if you like, assign it a color. Job type prints on the invoice.

Job Categories: If you need to be more specific, enter the categories of jobs that your company handles, and, if you like, assign it a color. Job category prints on the invoice.

Account Status: You can enter account statuses here, and, if you like, assign it a color. For example, “Service” or “Do Not Service”.  

Account Types: Do you have different types of accounts? Enter that information here, and, if you like, assign it a color. For example, “Pay on Site” or “Billable”.

Industry: If you need to specify your accounts’ industry, do so here. Of course, if you like, assign it a color.

Colorize Map By: This determines how your scheduler is color-coded. If you’d prefer it to be all the same color, choose “Default”. If not, choose between Type, Category, Technician, Status, Account Type, and Industry.

Customer Import/Export: Here you can import your customer data to Field Harmony using our template. You can also export all of your customers already in the database for your records.

Customer Signature Text: Here you can enter custom text that your customers will see while electronically signing the invoice.

Templates: This is where you’ll enter custom text that prints in the “additional notes” section of your invoice, as well as the text that will accompany your automatically generated emails, such as Customer and Technician job alerts, as well as emailed invoices.  You can also upload an image of your company logo to print on your invoice.

Email Settings: This is where you enter your email credentials from which you’d like the automatically generated messages to send. Follow the instructions on the info pop up.

Manual Tax Override: If you would like to use your own tax rate instead of our automated system, Please enter the tax rate into the box

Job Range Export: Export Job data by either Date Range or Paid Date.  

Timeclock Export: Export Timeclock data by Date Range.

System Configuration: Choose whether you’d like the system to automatically enter city and state when you enter the postal code, or if you’d prefer to enter it yourself. Also choose whether you’d like the scheduler to update in real-time, or if you’d prefer to refresh it yourself.

Purchase Order Email: This is where you enter the email address of your part vendor, as well as your associated account number. This is where the reorder email will be sent.

Service Bench Credentials: This is where you enter your ServiceBench account information and custom default job type so you can pull new jobs into your database directly from service bench.

 

Inventory:

Import, export, edit and delete parts here. Only the part name and description will print on the invoice, along with the quantity and price that your technician chooses. If you’d like to protect the price from being edited, you can select that option. You can also opt to make items taxed or untaxed.  

 

Audits:

This is a transcript of  most recent updates your employees make on any job, customer, or  account. This tool is primarily used for accountability in the workplace.
